Importing Bookings with AI
Share a day's messages, a photo of a booking sheet or a spreadsheet and ask the AI to put them in the calendar. No email or SMS goes out for an imported booking, so you confirm with customers yourself.
Before you start
- An AI assistant connected. See AI Connections Overview.
- The Booking Import permission ticked on the approval screen. It is never granted automatically.
Steps
Set up your services first
An appointment needs a service that already exists. Add them under Event Services. See Managing Event Services.

Share the bookings
Paste the messages, share a photo or upload a spreadsheet, and ask it to add them. Say the date explicitly, such as 5 August, 3pm.

Check every date and time
The preview lists each booking. It expires after 15 minutes, shorter than other imports, because a calendar moves.

Approve, then confirm with customers
Every booking is created at once. Message your customers yourself.

What happens next
- Nothing is written until you approve the preview in the chat. The approval covers only that one preview.
Edge cases
- What it creates. An appointment needs an existing service, and optionally a specialist. A reservation needs a party size of at least 1, and optionally a table. Up to 50 bookings per import.
- Double-bookings are caught at the last moment. Availability is checked when the bookings are written. If any conflicts, the whole import is refused and the AI says which, so fix that line and re-run.
- It never emails or texts a customer, creates a service, adds a customer to your list, or cancels, completes or reschedules a booking.
- A service that does not exist is an error in the preview. Add it and re-preview.
- Include the party size for reservations and the service name for appointments, and work one day at a time.
- Everything is one all-or-nothing save. If any part fails, the whole import is rolled back.
- If the assistant says it cannot write, the import permission was not granted or your role does not cover it. Disconnect and reconnect, ticking it on the approval screen. On ChatGPT especially, leave it ticked.
