Data Deletion

How to delete your Fuze Store account and data — in the app, on the web, or by email — plus exactly what is removed and what is retained.

1. Delete Your Account in the App

You can delete your Fuze Store account and its data yourself, at any time, from inside the product:

  • Fuze Store mobile app: open Account → Details, scroll to the bottom, and tap Delete Account. Confirm the prompt to proceed.
  • Web dashboard (www.fuze-store.com): sign in, open Account, scroll to the Danger Zone, and select Delete Account.

No approval from us is needed — the deletion starts immediately when you confirm.

One requirement first: if you own a store or an organization, transfer it to someone else or delete it before deleting your account. This protects the staff, orders, and records that belong to it. Simply being a staff member of someone else's store does not block you.

2. Request Deletion by Email

If you cannot access your account (for example, you lost your credentials), you can request deletion by email:

  • Email support@fuze-store.com with the subject line “Account Deletion Request.”
  • Send the request from the email address registered to the account, and include your username or store name so we can locate it.
  • We will verify the request and process the deletion within 30 days.

3. What Happens When You Delete Your Account

  • Your account is deactivated immediately and you are signed out everywhere. Any AI assistant you had connected to a store loses access at the same moment.
  • A 30-day grace period begins. During this window you can restore the account — and everything in it — simply by logging back in. This protects you from accidental deletion.
  • If you also want a copy of your data, request an export via support@fuze-store.com before or during the grace period; exports are fulfilled within 30 days.
  • After the grace period ends, your account and its data are permanently deleted and cannot be recovered.

4. What Is Deleted and What Is Retained

Permanently deleted after the 30-day grace period:

  • Your account profile (name, username, email, mobile number, avatar) and saved address.
  • Your connected sign-in accounts (Google, Facebook) and any one-time verification codes.
  • Your subscription record, your coupons, and your coupon redemption history.
  • Your memberships in any organization.
  • Push-notification device tokens and app preferences.

If your account was ever billed, it is not erased. Its invoices are tax records we must keep, so at the end of the grace period we remove your personal details instead: your name, username, email address, password, saved address, mobile number, connected sign-in accounts, organization memberships and device tokens. What remains is an anonymous account record that holds only your invoices, their saved copies (which show the billing details as they were issued), and your wallet ledger. Nobody can sign in to it again, and this cannot be undone.

Your unused prepaid wallet credit is forfeited.

Prepaid credit is sold as service credit for use inside Fuze Store. It is not refundable and cannot be withdrawn as cash, and any unused balance is forfeited when your account is permanently deleted at the end of the grace period. Your current balance is shown to you in the confirmation dialog before you delete, so you can spend it — or transfer your store to someone else instead — while the grace period is still running.

What is not deleted with your account:

  • Stores. A store is deleted on its own separate 30-day schedule, not with your account. Because you must transfer or delete every store you own before you can close your account, a store's product catalog, staff list, and order history follows the store, not you.
  • Staff records held by a store. If you worked at someone else's store, that store keeps a staff entry with the name and work email it recorded for you, and your account link is removed from it. This is what keeps that store's own past orders and shift reports accurate, and it is the store's business record — see section 5.
  • Payroll records. If an organization paid you through Fuze Store, the pay runs it approved are financial records. The organization keeps them with the name it recorded for you, and your account link is removed.
  • Sales records of a deleted store. When a store is deleted, one file of its orders, order lines, payments, refunds and cash sessions is kept after the store is erased, until 31 December of the sixth year after its last record, to meet Philippine record-keeping rules. Customers appear in it only by the name written on each order, with no contact details. The store owner can download it from Account → Store records, and a copy is emailed to the owner's verified address when the file is made. Deleting your account ends your access to the file, but not the file.
  • Operational and audit records. Actions recorded against a store — orders rung up, print jobs, imports, activity logs — are kept by that store with your account link removed.

Retained for a limited time or as required by law:

DataRetention
Deleted account (grace period)30 days, then permanently removed
Deleted stores and orders~1 month after deletion, then permanently removed
Sales-records file of a deleted storeUntil 31 December of the sixth year after its last record, then deleted
Deleted organizations30 days after deletion, then permanently removed, except an organization that approved payroll, which is kept as a closed financial record. Its billing records stay with the owner's account
Customers a merchant deletedKept off the store's customer lists; their purchase, booking and loyalty points history stays with the store until the store is deleted, unless the merchant also erased their personal details, which removes them from the record and its copies at once
Financial records (invoices, official receipts)Retained as required by law (e.g., PH tax regulations), with your personal details removed from the account they belong to
Approved payroll recordsRetained as required by law, with the account link removed
Wallet top-up receipts and the matching balance ledgerRetained as required by law (e.g., PH tax regulations)
SMS delivery logs (last 4 digits of number only)Up to 90 days, then automatically pruned
Staff activity (audit) logsUp to 400 days, then automatically pruned

Records we must keep by law are retained only as long as the legal obligation requires, then deleted.

5. Customer Records in a Merchant's Store

If your details were entered into a store's customer list by a merchant using Fuze Store (for example, the coffee shop you visit), that merchant — not Fuze Store — controls that record. Please contact the store directly to have your record corrected or deleted; we assist merchants in fulfilling such requests. When a merchant deletes a customer, the record leaves the store's customer lists, but the store keeps that customer's purchase, booking and loyalty points history until the store itself is deleted. If you ask a merchant to erase your details, they can erase them when deleting your record: your name is replaced and your contact details, birthday and addresses are removed from the record and from the copies kept on your past orders and bookings. Totals and points stay, and receipts already printed or emailed cannot be recalled. See our Privacy Policy for details on our controller/processor roles.
