Roles and Permissions Overview
A role is a job title with a set of permissions. Give each staff member the right role and they see and do only what the job needs. That protects sensitive data and prevents mistakes.
What this covers
Roles and permissions. A role holds permissions such as Orders · View or Refunds · Modify. Every change permission brings its view permission with it, so you cannot tick Modify without View. A permission has a module (Orders) and an action (View, Modify, Delete and so on).
Super Admin. The default Super Admin role is made with the store and allows everything. You can rename it or change its description, but not its permissions, switch it off or delete it. Ticking Full Access on another role keeps only that.

A role can be switched off. An off role grants nothing to anyone who holds it until it is switched on again. They keep the role.

Product permissions are named Products here and "Item" inside the system. A permission for an add-on you have not turned on can still be ticked. The role editor marks it as needing the add-on, and it starts working when the add-on is on.

Edge cases
- When the add-on is off, nobody is locked out. Every permission check passes for the store's staff, and the roles come back into force when you turn it on again.
- A person with no role is refused anything that needs a permission, unless they are the owner or an organization admin, while the add-on is on.
- Bookings are their own group. A role that used to reach bookings through Point of Sale or Event Services does not see them until you tick Bookings. Most booking roles want Bookings · View and Modify plus Event Services · View. Add Point of Sale to complete, cancel or close a booking that has an order, because that takes the order's payment.
- A supporting permission can be missing. A cashier can ring up a sale, but printing the receipt also needs Printers · View. The role editor's readiness summary spots this.
- You can only give roles you hold. See How to Assign a Role.
- Organization permissions are separate. They govern the organization, not a store, and are listed on the organization role screens.
- Segregation of duties. Four pairs are split on purpose so one person can't do both halves of a sensitive job: giving cash advances (Cash advances → Give) apart from settling pay (Payouts → Manage); starting a refund (Refunds → Modify) apart from letting it go out without a manager (Refunds → Authorize); recording drawer cash (Register Sessions → Modify) apart from erasing it (Remove drawer lines); and everyday settings (Preferences → Modify) apart from the controls (Store Settings → Change control settings).
- Change control settings covers the require-a-terminal and auto-lock settings, the PIN step-up for approvals, the three cash variance thresholds, never-below-zero stock, the register's required fields and NFC tag protection. The commission rules and payroll settings are locked unless the role has Commissions → Manage.
- Authorize needs Refunds → View, so the role editor ticks View for you. A person without Authorize is not blocked from refunds: with Staff Operations on, a manager approves on the spot or from Pending Approvals.
- When this arrived, roles kept what they had, with one exception. Roles that could record payouts can give and delete cash advances, roles that could make refunds can authorize, and roles that could change preferences can change controls. Only roles that can approve got Remove drawer lines.
- The store owner and organization admins can always do all of these, and so can everyone when Roles & Permissions is off.
