How to Create a New Role

Add-on required. This feature requires the Roles & Permissions add-on to be active on your store. View add-ons

Custom roles let you control exactly what each team member can do. This is useful when you want to give someone specific permissions or limit access to certain features.

Step-by-Step Guide

  1. Open the sidebar menu.
  2. Select Store from the menu. You will see a list of store settings.
  3. Select Roles & Permissions to open the roles management page.
  4. Click the New Role button.

  1. Open the Permissions tab and tap Start from a template to pick a ready-made role, then adjust it. The template also names the role for you. See Start from a template below.

  1. Check the role details and change anything you want. See the field explanations for details on each field.
  2. Or set the permissions by hand. See the full permissions list for all available options.
  3. Check the readiness summary before saving — tap the ? button next to Start from a template. See Check what the role can actually do.
  4. Click Save. Your new role will appear in the list and can be assigned to staff members.

Start from a template

Most stores never need to build a role from scratch. Tap Start from a template and pick the job you're hiring for — the permissions are filled in for you, and you can still add or remove anything afterwards.

Templates are grouped by business type:

  • Everyone — Manager, Assistant Manager, Supervisor / Shift Lead, Cashier, Customer Service, Bookkeeper, Marketing & Promotions, Viewer / Auditor
  • Food & drink — Server, Bartender, Host, Kitchen Staff, Crew
  • Retail & grocery — Sales Associate, Stock Clerk, Purchasing
  • Services & appointments — Receptionist, Service Provider, Attendant
  • Deliveries — Delivery Rider

Picking a template replaces whatever is currently checked, so choose one first and fine-tune after. Build a role by hand only for something genuinely specific to your store.

The template also fills in the role's name and description when you've left them blank, so you can pick "Cashier" and save straight away. Anything you type yourself is kept — if you rename the role to "Head Cashier" and then switch templates, your name stays. Only a name the template itself filled in gets updated when you pick a different one.

Some templates include permissions for add-ons you haven't enabled yet. That's intentional — the role is ready to go the moment you turn the add-on on, and nothing is granted in the meantime.

Check what the role can actually do

Tap the ? button next to Start from a template at the top of the Permissions tab. Fuze Store
shows a plain-English summary of what this role can and cannot do — "take orders", "print
receipts", "open or close the cash drawer", and so on. It updates as you tick permissions, so you can
leave it open while you work.

Read it before you save. Some jobs need permissions from more than one section, and the summary is the quickest way to spot a gap. A common example: taking orders needs Point of Sale, but printing the receipt also needs Printers → View. Without it the cashier can ring up a sale and the receipt simply won't print.

Jobs your store can't do yet because an add-on or plan feature is missing are left out of the summary — those aren't something a role can fix.

Tips

  • Start from a template whenever one matches the job — it's faster and safer than checking boxes.
  • Use clear names so your team knows what each role is for.
  • Only give sensitive permissions (like deleting data or changing settings) to trusted team members.
  • You can always edit or delete roles later if your needs change.
  • Review your roles regularly as your business grows.

Best Practices

  • Start with basic roles and add more as needed.
  • If a staff member reports that a button "does nothing", check their role's readiness summary first — a missing supporting permission is the usual cause.
  • Keep permissions simple -- most staff only need basic access.
  • Remove or update roles that are no longer needed to keep your system clean.
