Managing the Product List
The Products screen does more than list your catalog. Use it to find items, see stock at a glance, and change many products in one go.

Finding a product
Type in the search bar at the top to find items by name, SKU, or barcode. Case does not matter, and part of a word works. With several words, an item must match every word, each in any of those fields. Small words like "and" or "the" are skipped, so "cookies and cream" finds "Cookies & Cream". The search and the filters cover your whole catalog, not only the page you are on. Tap Filters to narrow the list further.

The same text as the search bar. Both stay in sync.
All, Product, or Service.
Pick one or more categories. Picking a parent category also shows the items in its sub-categories.
All, Enabled, or Disabled.
All, Simple, or Bundle.
All, In stock, or Out of stock. Items without stock tracking count as in stock.
All, Register only, or Online only. Finds the items that are kept off your online menu, or sold only online.
Active filters show as chips above the list. Tap a chip to remove that filter, or tap Clear All to reset every filter. There is no sort control; the list keeps its default order.
Reading the list
On phones each product is a card. On tablets and larger screens the list is a table.
| Column or badge | Meaning |
|---|---|
| Kind | Product or Service. |
| Categories | The item's categories by name: the first two, then "+2 more" for the rest. A dash means it has none. Phone cards show the same line under the name. |
| Stock | Units on hand across every location. When your selling location holds a different amount, a second line reads "12 at Front Counter". Items without stock tracking show a dash. Services show Duration here instead. |
| Base price | The regular price, before any special price. |
| Status | Enabled or Disabled, plus Unavailable when availability is off. |
| Bundle | The item sells several products as one line. See Bundles. |
| Register only / Online only | The item is sold on only one channel. Items sold on both show no badge. |
| Out of stock | Stock tracking is on and quantity is zero, or the status is set to Out of Stock. |
| Low stock · 3 | Stock tracking is on and quantity is at or below the item's Low Stock Level. |
The row menu
Tap the ⋯ menu on a row:

- Edit opens the product form. Without the Modify product permission the entry reads View details and the form is read-only.
- Print label prints a barcode or price label for this item. Needs the Advanced printing permission. See Label Printing.
- Write to tag writes the product to an NFC tag. Appears on devices with an NFC reader when the NFC add-on is on. See Product Tags.
- Delete removes or retires the product. See Deleting a Product.
Selecting several products
Tick the checkbox on each row, or tick the checkbox in the toolbar to select every product on the page. The toolbar shows how many are selected ("10 selected") beside the Action menu; tap the ✕ on that count to clear the selection.
The toolbar checkbox only takes the rows on the page you are on. Your ticks stay when you move to another page, so you can tick the checkbox on each page to add it. When a whole page is selected and more products match your search or filter, a line appears under the toolbar: "All 10 items on this page are selected. Select all 13 items". Tap it to select every matching product on every page at once, up to 2,000.
Before anything changes, the confirmation states the number, for example "Delete 13 products?". Changing the search or a filter clears the selection, and so does leaving the screen. Print labels works on the whole selection, including products on pages you have not opened.

| Action | What it does | Needs |
|---|---|---|
| Enable / Disable | Turns the selected items on or off everywhere. | Modify product |
| Sell on | Opens a sheet with Register and Online store. It replaces where the selected items are sold, and the button states how many it applies to, for example "Apply to 3". At least one channel must stay on. | Modify product |
| Mark available / Mark unavailable | Changes availability without disabling. The same switch as Today's Menu. | Modify product |
| Print labels | Sends one label per selected item to your label printer. | Advanced printing |
| Delete | Deletes the selection. If any selected item is still part of a live bundle, event service, or organization link group, nothing is deleted. | Delete product |
The toolbar only appears for staff who hold at least one of those permissions.
Importing and exporting
Bulk product changes run from their own screens, not from Products. Import a spreadsheet under Configurations → Import and download your catalog under Configurations → Export. See Importing Products, Importing Product Stocks, and Exporting Data.
Edge cases
- The server does the searching. Every filter and the search ask the server again, so an item on any page can be found. A category filter also matches every category beneath it.
- Select all is capped at 2,000. The "Select all N items" line asks the server for every matching id. Changing the search or a filter clears the selection, and so does leaving the screen.
- A bulk delete is all or nothing. If any selected item is still part of a live bundle, an event service, or an organization link group, nothing is deleted, and the message names each parent.
- A bulk Sell on never turns both channels off. Both off is refused for the whole request. Items that follow an organization master catalog are changed too, because each branch decides this itself.
- Disabling is not deleting. A disabled item stays in the catalog but leaves the register and the public menu.
- The toolbar needs a permission. The tick boxes and Action menu show only to people who may change, delete, or print labels for products.
- Deleting keeps history. An item that ever sold, moved stock, or sits on a purchase order, transfer, or stock count is only hidden, and left-over stock is written off to zero.
