Inventory Approvals & Permissions

Add-on required. This feature requires the Inventory Management add-on to be active on your store. View add-ons

Larger stores often want a second set of eyes on inventory actions that move money or stock. Fuze Store offers two controls for this: manager approval for high-value actions and location-scoped permissions that limit which locations a staff member can work in.

Manager approval requires the Staff Operations add-on in addition to Inventory Management. If Staff Operations is off, inventory works without any approval step — nothing is blocked.

Manager Approval (Segregation of Duties)

When Staff Operations is active, you can require a manager to approve two sensitive inventory actions:

ActionWhen Approval Applies
Placing a purchase orderWhen the order total is at or above your configured threshold.
Adjusting stockWhen the adjustment quantity is at or above your configured threshold.

How an Approval Works

1

A staff member starts the action

A cashier or clerk places a large purchase order or makes a stock adjustment.

2

The system asks for approval

If the action is over the threshold and the staff member can't authorize it themselves, Fuze Store pauses the action and prompts for a manager's PIN.

3

A manager approves in place

A manager enters their PIN on the same screen — the staff member never has to log out. The action then completes automatically.

Owners and managers can authorize these actions themselves. A clerk with only inventory edit access needs a manager's approval. For purchase-order placing, you can require that the approver is a different person than the one who created the order.

Configuring Thresholds

Approval thresholds and which actions require sign-off are set per store. By default, both placing a purchase order and adjusting stock require manager approval, and placing a purchase order additionally requires that the approver is a different person than the one who created it. You can set a quantity threshold so only stock adjustments above it need sign-off. Adjust these to match how much you trust your front-line staff.

Location-Scoped Permissions

If you run more than one location, you can limit a staff member to the locations they actually work in. Once a staff member is assigned to specific locations, they can only receive purchase orders, ship or receive transfers, or adjust stock at those locations.

SituationBehavior
Staff member has no assignmentsUnrestricted — they can work at any location.
Single-location storeNo restriction applies — there is nothing to scope.
OwnerAlways unrestricted, regardless of assignments.
Staff assigned to specific locationsLimited to those locations only. Acting elsewhere is blocked.

This keeps a clerk at your downtown branch from accidentally — or intentionally — adjusting stock at your warehouse.
