Staff Badges

A badge lets a staff member tap or scan instead of typing a PIN: when switching in at the start of a shift, unlocking a terminal that locked itself, and approving something a manager must sign off, like a void. Each person has one badge at a time. Issuing a new one stops the old one at once.

Before you start

• The Staff Operations add-on, and badges on in Preferences.
• For NFC: the NFC add-on, NFC · Modify and a device that can write tags.

Steps

What happens next

• The badge works at once. The person's profile shows a live badge with Last used, or Never used.

Edge cases

• Approvals ask for a PIN too, by default. A badge is like a key, so a lanyard left on the counter should not approve a void. Turn it off in Preferences → Policies → Staff operations. Declining never asks for a PIN.
• Looking up whose badge it is. Tap the card button on any POS screen and hold the badge, or use Scan card in the side menu. The badge card shows who it is and what their role allows. If a PIN prompt is open, the badge goes to the prompt.
• Locked terminals. Only that operator's own badge resumes the session. Anyone else uses Use a different operator. If nobody had switched in, a badge signs its holder in. A person with a badge but no PIN can lock the terminal too. A printed QR needs a camera, and an NFC badge works only where the phone or a paired Hub can read tags.
• Cancel before the tag is written and the badge is removed, but the old one already stopped, so the person has no badge until you write it again. They can still use their PIN.
• Never overwrites a badge in use. If the tag holds a colleague's working badge, nothing is written. Reissuing someone's own card works.
• Losing a badge. Choose Revoke badge. The NFC card or QR stops at once. If they have a PIN they can still sign in. For an NFC badge, the app may ask Erase the card too? Tap Erase now and hold the card. Until it is erased the profile shows The old card still holds this badge, with Erase card. Only the card that held it is erased.
• Reusing a tag. Configurations → NFC → Erase tag. A badge in use asks Erase a staff badge? and names whose it is. Erasing does not revoke it.
• If a tap fails, the app gives the same answer whether a badge is unknown, revoked, mispaired or someone else's. The real reason is in the Activity log. Check the badge is live, is the same tag, and badges are switched on. A copy scanned with Scan badge fails if the badge is paired. Too many wrong taps lock that badge for a few minutes.
• Turning badges off entirely. Preferences → Policies → Staff operations → Staff badges. Your team goes back to PINs.
• A locked terminal stays locked when its operator's badge is revoked, their PIN is cleared or badges are turned off on another device. The lock screen then says can no longer unlock this terminal: a manager taps Use a different operator and signs in, or the owner taps Sign out and signs back in with their email and password.
• Print. The QR slip needs a printer that can print a QR code, and never opens the cash drawer. In a browser, Print shows only while the computer is paired with the Hub.
