# Cash Advances

A cash advance is money paid ahead of a staff member's future pay. Fuze keeps it as a **balance the staff member owes**, separate from commission, and repays it from their payouts.

## Before you start

- Staff commissions is on.
- The **Payouts · Manage** permission.

## Steps

On the staff member's **Commissions** tab tap **Cash advance**, or **More → Cash advance**.

Type the amount and, if you like, a reminder of what it was for.

While a store session is open, **Also record as cash out** starts on and logs the cash leaving the drawer, so expected cash stays right. Turn it off if it was paid another way.

It shows under **Recent activity** marked **Open** and adds to their **Advance balance**.

On **Staff**, tap **Cash advance** at the top. Tick the people, set an **Amount for everyone** and **Apply to picked**, edit any amount, add notes, and tap **Give**. Confirm the headcount and total.

## What happens next

- The balance is repaid automatically by each payout. See [Recording a Payout](/docs/store/staff-operations/recording-a-payout).

## Edge cases

- **When the cash-out switch shows.** Not at all without the Store Session add-on. Shown but off, with a note, when no session is open. On when one is open. If the advance is more than the expected cash, the app asks before recording it, and you tap **Record anyway** if it is right.
- **The cash out goes with the advance.** You cannot remove it on its own. Delete the advance instead. If its session closed, the cash comes back as a Cash In in today's open session, and with no session open the delete is refused.
- **Repayment.** Gross pay plus additions minus deductions, then an **Advance repayment** from what is left. A full cover repays it all. Otherwise the payout pays ₱0 and the rest stays as a balance for the next. Oldest first, including advances from before the period. A payout with only an addition, such as an allowance, can still repay.
- **Several at once is all or nothing.** Up to 50 people, each once. A bad row is reported and nothing is saved. Tapping Give twice never records twice.
- **Delete** from the Activity list while nothing has been recovered. Once a payout or an approved organization pay run recovered any of it, delete that payout or reopen that run first.
- **Organization people.** The organization's pay run repays the advance, from every branch, oldest first. Your branch keeps showing what is still owed. A pay run does not repay an advance taken at a branch with commissions off.
- **A cash advance never counts as Paid** or Unpaid commission. It has its own figure.
- **Written consent.** Get the staff member's written authorization. See [Recording a Payout](/docs/store/staff-operations/recording-a-payout).
- **Who can give and delete cash advances.** Each has its own card in the role editor, **Cash advances**, under **People** next to **Payouts**. **Give** lets someone record advances (one person or several at once). **Delete** lets someone delete an advance that is still open. Neither comes with **Payouts**. Roles that could record payouts before keep both, so nothing changes until you take **Give** or **Delete** away.
- **The cash out goes with the advance.** You can't remove it from the session's cash movements on its own, even with permission to remove drawer lines. Delete the advance instead.

## Works with

| Add-on or plan | What changes on this page |
| --- | --- |
| Staff Pay add-on | Required. Free during the free trial. Without it the commission, payout and cash advance screens are hidden and no commission is recorded. |
| Staff Operations add-on | Optional. A PIN sign-in proves who tagged each line. |
| Staff Commissions preference | The switch inside Staff Pay that turns commissions on. See [Turning On Commissions](/docs/store/staff-operations/turning-on-commissions). |
| Store Session add-on | Needed to log the advance as cash out of the drawer. |
| Organization add-on | The organization's people earn commission here but are paid by the organization's pay runs. See [Organization Pay Runs](/docs/account/organizations/organization-pay-runs). |
